The following guide explains how to create a shipment in the web-based freight forwarding software Logistiqo.
Create New Shipment
- Go to the menu “Shipments > Shipment”.
- All created live orders are displayed in the top table. Existing shipments can be quickly found or filtered using the search and filter fields in the table header.
- To create a new order, click “New” at the top of the toolbar.
- Alternatively, shipments can also be recorded via the “AI” button in the toolbar.
Using the AI Import, you can insert an email text or upload a PDF document. Logistiqo analyzes the contents and transfers the recognized shipment data into the current shipment. After reviewing, the data can be accepted and, if necessary, manually supplemented or corrected.
Customer Data
- Customer: First, select a customer. In the “Customer” field, you can search by customer code, company name, postal code, or city.
- Contact: If a contact person is stored for the customer, they can be selected in the “Contact” field.
If a new contact person is to be added, enter the name directly in the field. A prompt will then appear allowing you to create the new contact. - Customer Reference: Enter the customer reference or customer order number in the “Customer Reference” field. The customer reference is visible to the customer and appears on various printouts, e.g., on the invoice.
- Internal Reference: An internal identifier or note can be entered in the “Internal Reference” field.
Note: The internal reference is not the shipment number. The shipment number is automatically assigned after the first save.
Commercial Data
- In the “Commercial” section, you can select, among other things, the shipment type, the payment terms, and the responsible contact person.
- In the “Flags” section, additional options can be activated, such as Waybill, Release for Invoice, Override Tax Case, or Timocom, if relevant for the order.
Sender and Recipient
- In the “Pickup Address” section, select the loading address or sender.
- In the “Delivery Address” section, select the unloading address or recipient.
- Enter the respective date and time for loading and unloading in the fields “From” and “To”.
- Additional action buttons in the address line allow you to add further details to the address or add additional loading or unloading points.
Goods
- In the “Goods Description” section, enter the description of the goods, e.g., “pallets,” “machine parts,” or “spare parts.”
- Then select the unit, e.g., Euro pallet, and enter the number of packages, the weight, and, if needed, the loading meters.
- Depending on the configuration, further goods details can be recorded, such as dimensions, volume, volumetric weight, temperature details, or ADR information.
- Additional goods rows can be added via the plus sign on the right edge. Positions can be removed using the trash can icon.
Services and Costs
- In the “Service” section, select the desired service. By default, “Freight Costs” is often preselected.
- For each service, a driver, a subcontractor, a vehicle, or a vehicle type can be selected.
- Enter the quantity of the service in the “Quantity” field.
- Enter the sales price or net amount in the “Price” field.
- Enter the costs, e.g., the amount agreed with the subcontractor, in the “Costs” field. If no subcontractor is used, this field can be left blank.
- Additional services, surcharges, or cost items can be added using the plus sign.
Details and Status
- On the right side is the “Details” section. Important additional information about the shipment is displayed here, including:
- Status changes
- Addresses
- Totals
- Weight
- Other order-related information
- The current status of the shipment can be changed via the “Status” button in the toolbar. Status changes are documented in the details area.
Save
- Save the shipment by clicking “Save” at the top of the toolbar.
- After the first save, a shipment number is automatically assigned. The shipment then appears in the table and can be accessed and edited there at any time.
