This guide details managing users in Logistiqo, including checking and booking user licenses, creating users linked to employees with valid emails, assigning roles, and sending login details. It covers locking/deactivating users, billing based on active licenses, and viewing active sessions with device info. External user creation is handled separately.
This step-by-step guide explains how to manage, create, and deactivate users in the web-based logistics software Logistiqo.
Checking and Booking User Licenses
Before new users can be created or actively used, please make sure that enough user licenses have been booked.
- Go to Administration > Licenses & Users.
- In the overview, you can see:
- the licenses currently in use
- the booked licenses
- the monthly costs
- the current monthly amount
- the currently selected contract term
- Select the required contract term:
- 12-month term
- 1-month term
- If needed, increase the number of required licenses using the plus button.
- Review the updated license overview, including the booked quantity and the resulting monthly costs.
- To apply the change, click Order License Change.
- If you do not want to apply the changes, click Discard Changes.
Note:
Additional licenses become active immediately and are billed proportionally or from the next invoice onward. Reductions only become effective at the next contractually permitted date.
Please make sure to check how many user licenses are booked and how many users are actively used in the system, as booked or active user licenses may be relevant for billing.
Creating a User
- Go to Employees > Employees.
- Create the employee for whom you want to create a user account.
Important: The employee must have an email address assigned. Without an email address, a user account cannot be created. - Then go to Administration > Users.
This menu item can only be accessed with the appropriate administrator permissions. - The upper table shows the users that have already been created.
- Click New in the toolbar.
- In the Person field, select the employee who should be created as a user.
The selection field shows the employees that were previously created under Employees > Employees. - The Username is usually filled automatically based on the employee’s email address.
- Select the appropriate Role, for example:
- Administrator
- User
- other system-specific roles
- Review the additional default settings, for example:
- Tenant role
- Default group
- Rows per page
- Locale/language
- App format
- Shipment type
- Depot selection
- Save the user by clicking Save in the toolbar.
- Then click Email Login to send the user their login details or password setup link.
- The user will receive a registration or login email. By clicking the link in the email, the user can set their password and then log in to Logistiqo.
Notes on Creating Users
A user can only be created if a valid email address is stored for the assigned employee.
If the email address is already being used for another user, no additional user can be created with the same email address.
Before creating new users, please also check whether enough licenses have been booked.
Creating External Users / Customer Accounts
External users, such as customer accounts, are created differently from internal users.

Locking or Deactivating a User
- Go to Administration > Users.
- Select the user whose account you want to lock from the upper table.
- In the Login & Account section, tick the Account Locked checkbox.
- Save the change by clicking Save.
- The user is now deactivated and can no longer log in.
If locked or inactive users are not displayed directly, you can show them again using the filter in the toolbar.
Active Users / Active Sessions
- Go to System > Active Sessions.
- There you can see which users are currently logged into the system.
- You can also see which browser or device each user is using.
