In Logistiqo, number ranges define how numbers are automatically assigned in different areas of the system, for example for shipments, quotations, invoices, credit notes, incoming invoices, reminders, companies, customers, or suppliers.
A number range controls the structure of the generated number. This can include a prefix, a separator, the number of digits, and whether the number range should restart every year or every month.
Number ranges should only be changed by administrators who understand the effect on future records and documents.
Opening Number Ranges
Go to Settings > General > Number Range.
The table shows the existing number ranges. Each row belongs to a specific area in Logistiqo, for example:
- Shipment for shipments
- Invoice for invoices
- Credit for credit notes
- Incominginvoice for incoming invoices
- Reminder for reminders
- Company for companies
- Customer for customers
- Supplier for suppliers
To edit a number range, click the edit icon on the right side of the corresponding row.
Structure of a Number Range
A number range consists of several parts. The final result is shown in the Example column.
Example:
26-00001
This number consists of:
- Number Prefix:
yy - Separator:
- - Number Pattern:
00000
In the year 2026, this creates a number such as 26-00001.
Important Fields
- Type: Defines which area the number range is used for, for example invoice, shipment, customer, or supplier.
- New period start pattern: Defines when the number range starts again from the defined start number.
Example:yyyymeans that the number range restarts every year. - (Start number - 1) for new period: Enter the number directly before the first new number.
If the first number should be 80001, enter 80000.
If the first number should be 1, enter 0. - Number per depot: If this option is activated, the number range is managed separately per depot.
- Number Prefix: The first part of the number.
Examples:yy= two-digit year, for example26yyyy= four-digit year, for example2026- The field can also be left empty.
- Separator: The character between prefix and number.
For best compatibility, use a hyphen-, a space, or no separator. Avoid special characters that are commonly used as path or system characters, especially/, because they may cause problems when documents are generated, stored, exported, or displayed in connected systems. - Number Pattern: Defines how many digits the running number has.
Example:00000creates numbers such as 00001, 00002, 00003. - Example: Shows how the number will look with the current settings.
- Entity: Defines the entity for which the number range applies.
Examples
Example 1: Invoice
If invoices should use the format 26-00001, the number range can be configured as follows:

The next invoice will automatically receive the next available number.
Example 2: Shipment
If shipments should use the format 2026-001, the number range can be configured as follows:
- Number Prefix:

Example 3: Customers or Suppliers
For customers or suppliers, a year prefix is often not used.

Important Notes
Do not change number ranges unnecessarily
Only change number ranges if it is really necessary. A change affects future numbers.
Existing invoices, shipments, or other records keep the number that has already been assigned.
Set the start number correctly
If you want to continue a number range from a previous system, enter the last used number in (Start number - 1) for new period.
Example:
If the last invoice in the old system had the number 3456, enter 3456. The next new number in Logistiqo will then be 3457.
Year changes and period changes
If a number range should restart every year, this is controlled by the New period start pattern.
At the beginning of a new period, Logistiqo starts again with the defined start number for that period.
Number ranges may be limited after use
Once a number range has already been used, later changes should be made very carefully. Start number, pattern, prefix, and separator can affect future number assignment.
Do not close gaps by manually reusing numbers
Number ranges are used to create unique numbers. Already assigned numbers should not be reused later by manually changing the number range.
