In Logistiqo, email signatures are managed through the Email Footer.
The Email Footer is added to outgoing emails and can contain general company information as well as user-related placeholders. This allows the signature to automatically include the correct contact details depending on the user who sends the email.
Opening the Email Footer
Go to Settings > Email > Email Template.
The upper table shows the available email templates.
Search in the Code column for Email Footer or in the Description column for the signature you want to edit.
Important: There can be several Email Footers for different languages, for example:
- en for English emails
- de for German emails
- other languages depending on your setup
Select the Email Footer you want to edit.
Selecting the Correct Email Footer
When selecting the Email Footer, pay attention to the following columns:
- Code: Usually shows Email Footer.
- Language: Shows the language for which the footer is used.
- Description: Describes the signature or template.
- Type: For the footer, this should be Included In Email.
- Entity: Shows the entity for which the template applies.
If you use several language versions, check and update the corresponding Email Footer for each language.
Editing the Signature
After selecting the Email Footer, the editing area opens below.
In the Content area, you can edit the signature.
You can enter or adjust information such as:
- company name
- website
- address
- commercial register information
- managing directors
- general contact information
- user-related placeholders
Edit the text directly in the editor.
The formatting toolbar can be used for simple formatting, for example:
- bold
- italic
- underline
- lists
- links
- text formatting
Using Text Fragments
On the right side, in the Text Fragments area, you can find placeholders that can be used in the signature.
Typical placeholders are:
- {user}: Name of the user who sends the email.
- {user_email}: Email address of the user.
- {user_mobile}: Mobile number of the user.
- {user_phone}: Phone number of the user.
These placeholders are automatically replaced with the data of the sending user when the email is sent.
Example:
If the signature contains {user_email}, the email address of the sending user will be inserted when the email is sent.
Details and Sender Fields
In the Details area, additional fields may be available depending on your setup, for example:
- From Email
- From Email Name
- Description
These fields can be relevant for the template or the displayed sender.
Only change these fields if you know how email sending is configured in your environment.
Saving Changes
After changing the signature, click Save.
Afterwards, it is recommended to send a test email and check whether the signature is displayed correctly.
Pay special attention to:
- correct language
- correct company information
- correct placeholders
- clean formatting
- correct display in the received email
Important Notes
Changes to the Email Footer can affect outgoing emails from Logistiqo.
Before saving, check especially:
- Are you editing the correct Email Footer?
- Is the correct Language selected?
- Does the template belong to the correct Entity?
- Is the Type set to Included In Email?
- Are the placeholders written correctly?
- Are all legally or organizationally required company details included?
Common Issues
If the signature does not appear as expected, check the following points first:
- The wrong language version was edited.
- The wrong record was selected.
- The change was not saved.
- Placeholders were written incorrectly.
- User information such as phone number or email address is missing in the user profile.
- The test email was sent in another language or with another template.
