In Logistiqo, you can create a customer portal login for a contact person.
Depending on your setup, the customer can use this access to create shipments or view relevant information in the customer portal.
The access is created directly in the contact record.
Opening the Contact
Go to Contacts > Contact.
The upper table shows the existing contact persons.
Select the contact for whom you want to create customer portal access.
If the contact does not exist yet, create a new contact by clicking New and save the contact first.
Requirements
Before customer portal access can be created, the contact should be maintained correctly.
Check especially:
- The contact is assigned to the correct Company.
- A valid Email address is entered in the Contact area.
- Name and contact details are correct.
- The contact is not accidentally assigned to the wrong customer.
The email address is important because the login data or password setup link is sent by email.
Activating the Customer Portal User
Open the required contact.
On the right side, you will find the section External User.
Activate the checkbox External User.
After activating the checkbox, additional fields for the customer portal access are displayed.
Setting Up the Login Data
In the External User section, you can maintain the login data and settings for the contact.
Important fields are:
- Username: Username for the login. Usually, the contact’s email address is used.
- Role: Role or permission level of the user in the customer portal. Select the appropriate role according to your setup.
- Locale: Language in which the user should see the customer portal.
- Shipment Type: Shipment type that should be used for new shipments created through the customer portal. Depending on your setup, this can be for example PORTAL.
- Information: Optional information field for internal notes or additional information.
After filling in the fields, save the contact by clicking Save.
Sending Login Data by Email
After the contact has been saved, you can send the login data to the user.
Click Send Email Login Data in the External User section.
The contact receives an email with the login data or a link to set up the password.
The user must open the link in the email and create a password. After that, the user can log in to the customer portal.
Blocking Access
If customer portal access should be blocked, do not simply remove the checkbox External User.
Instead, activate Account Locked and save the contact.
This keeps the configuration traceable, but the user can no longer log in to the customer portal.
Common Issues
If the login does not work or the login email cannot be sent, check the following points first:
- No email address is entered for the contact.
- The contact was not saved after activating External User.
- The username is empty or already used.
- No suitable Role was selected.
- No suitable Locale was selected.
- The wrong Shipment Type was selected.
- The account is blocked via Account Locked.
- The contact is assigned to the wrong company.
- The login email has not yet been sent via Send Email Login Data.
Important Notes
Before sending the login data, check especially:
- correct contact
- correct email address
- correct company
- suitable role
- suitable language
- suitable shipment type
- account not locked
Customer portal access should only be activated for contact persons who should actually receive access to the customer portal.
Summary
To create a user for the customer portal:
- Open Contacts > Contact.
- Select the required contact or create a new one.
- Check company, name, and email address.
- Activate External User.
- Maintain Username, Role, Locale, and Shipment Type.
- Save the contact.
- Send the login data via Send Email Login Data.
- The user sets up the password and can then log in to the customer portal.
