In Logistiqo, quotations can be created from the shipment module. A quotation is entered in a similar way to a normal shipment, but it is not yet an active shipment order.
Once the quotation has been accepted, it can be converted into a shipment.
Creating a new quotation
Go to Shipments > Shipment.
- Click File > Quotation.
- The Quotation window opens.
- Select Create New Quotation.
- Choose how the new quotation should be created:
- Save current shipment and create new quotation: Saves the currently opened shipment first and then opens a new quotation draft.
- Create new quotation without saving: Opens a new quotation draft without saving the currently opened shipment first.
- Click Create New Quotation.
Logistiqo opens a new quotation draft. You can now enter the quotation data in the shipment screen.
Entering quotation details
Enter the quotation details in the same way as you would enter a shipment. This usually includes the customer, sender, receiver, dates, goods, services, prices, and other relevant shipment information.
Check the services and prices carefully, because these values will be used for the quotation document.
After entering the required data, click Save.
The quotation is now stored in Logistiqo and can be opened again later.
Finding existing quotations
To see an overview of existing quotations, use the filter settings in the shipment module.
- Go to Shipments > Shipment.
- Click the Filter button in the toolbar.
- In Filter Settings, select Quotation under Shipment Status.
- Adjust the time period if required.
- Click Submit.
The table now shows the quotations that match the selected filter settings. Quotations are marked with the status Quotation in the shipment table.
Sending a quotation by email
After the quotation has been created and saved, it can be sent by email.
- Open the quotation.
- Click Email and select the quotation email option, depending on your setup.
- Logistiqo opens an email window with the quotation attached.
- Check the recipient, subject, email text, and attachment.
- Click Send to send the quotation to the customer or prospect.
Creating an order from a quotation
If the customer accepts the quotation, you can create a shipment order from it.
- Open the quotation.
- Click File > Quotation.
- Select Create Order from Quotation.
- Click Create Order from Quotation.
- Logistiqo creates a new shipment from the selected quotation.
- Check the newly created shipment and complete any missing operational details if required.
- Save the shipment.
After the quotation has been converted, the quotation status changes accordingly. This helps distinguish open quotations from accepted quotations.
Copying a quotation into a new quotation
If you want to reuse an existing quotation as the basis for a new quotation, open the existing quotation and click File > Quotation.
Select Copy to New Quotation.
Logistiqo creates a new quotation draft based on the selected quotation. Check and adjust the copied data before saving the new quotation.
Important notes
A quotation is not the same as an active shipment. Operational processing should only start after the quotation has been converted into a shipment.
Before creating an order from a quotation, check whether the customer, addresses, dates, goods, services, and prices are still correct.
If Create Order from Quotation or Copy to New Quotation is not available, first select and save an existing quotation.
